JOB TITLE: Site Manager Amalia Senior Center 

ENTRY LEVEL: $11.17 per hour 

CLASSIFICATION: Grant Funded/Non-Exempt 

DEFINITION: Performs a variety of administrative and supervisory duties related to planning,  Amalia organizing and coordinating the development and ongoing maintenance of the Senior Program(s).

 

MINIMUM QUALIFICATIONS

1. Education and Experience:

A. Graduation from high school with course work in general office practices and procedures; plus; two (2) years of which preferred to have been in a supervisory capacity; 

AND

B. Two (2) years of progressively responsible experience related to the above or similar duties

OR

C. An equivalent combination of education and experience.

 

2. Knowledge, Skills, and Abilities:

Working knowledge of modern office practices and procedures; grammar, spelling and punctuation; modern filing systems related to alphabetical and numeric files; modern records management techniques, including legal requirements for recording, retention and disclosure; effective public relations and interpersonal communication.  Some knowledge of general administrative procedures; basic accounting and bookkeeping; general research methods, sources, and procedures.

Skill in establishing and maintaining effective working relationships with local officials, elected officials, staff, and County residents. 

Ability to get along with Senior Citizens and some knowledge of the aging process ;exercise initiative, independent judgment and to act resourcefully under varying conditions; maintain strict confidentiality related to sensitive administrative information; operate personal computer (windows) in utilizing various programs to produce or compose formal documents, reports and records; communicate effectively verbally and in writing; establish and maintain comprehensive records and files; perform secretarial, stenographic and machine dictation involving legal terminology and format; maintain filing and record keeping system;  work with the public and develop effective working relationships; communicate effectively, verbally and in writing;  operate a calculator, copy machine, computer, and other types of standard office equipment.

 

3. Special Qualifications:

Must possess a valid driver’s license.

Must be capable of communicating both in English and Spanish

GENERAL PURPOSE 

Performs a variety of administrative and supervisory duties related to planning, organizing and coordinating the development and ongoing maintenance of the Senior Program(s).

 

SUPERVISION RECEIVED 

Works under the direct supervision of the Program Coordinator/SAMS and Senior Center Director; 

 

SUPERVISION  EXERCISED

Provides general supervision of Cooks, Drivers and all other employees or volunteers of the organization.

 

ESSENTIAL FUNCTIONS

Plans, organizes, and supervises activities for Senior participants at the Senior Center and eligible participants receiving meals at home; Supervises the day-to-day activities of the Cooks and Van Drivers and be responsible for the assignment of duties to staff; Keeps a list of Sub-Van Drivers for coverage during the absence of the centers regular drivers with the approval of the Senior Center Director secure substitutes for either the cook or driver; Assists the food service staff in serving meals as necessary; Instructs the food service staff on methods, procedures, and standards of performance, discipline, health, and safety; may be required to cook or drive in the absence of either the cook or driver if no substitute is available.

Responsible to review employee timesheets, travel requests, leave requests responsible that staffing is available to meet service delivery needs. Insure that services are provided during employee absences. May delegate, when deemed appropriate certain tasks and duties to other center personnel. Provide training and orientation to new personnel regarding personnel policies and procedure, program policies, and job responsibilities; shall be responsible for keeping the Senior Center Director informed of all situations that may affect service delivery and any accident or injury as per policy and office hours are kept as indicated on area plan submitted to the Area Agency on Aging.

Responsible to complete, verify and turn in all weekly rosters and weekly deposit reports to the Taos Site no later than 4:30 pm each Friday. And all other reports due by the 3rd working day after the end of the month. Shall be responsible for the collection, verification and deposit of all program income. Deposits must be made daily with the exception of the Questa, Amalia and Chamisal Senior Center, because they do not have a banking institution in the area. Questa, Amalia and Chamisal must deposit on a weekly basis and assure the income collected is secured until deposit.

Creates a complete and accurate monthly report to the administration of services to eligible seniors in the respective communities; Maintains confidential files on eligible participants, by registering the participants yearly for those attending the Senior Center and for the participants receiving home delivered meals; responsible for maintaining individual files on in-home service recipients Shall be responsible for registering all congregate and in-home participants utilizing the NewMapis information system; required to conduct in-home assessment and 6 month re-assessments on all in-home service recipients; Shall be required to complete and submit all necessary paperwork as required by funding source policies.

Responsible for the delivery of all Senior Program services and facilities, equipment and vehicles and for the facilitation by insuring required inspection, food service permits, fire drill and other required documentation is current as required by program policies .Conducts periodic inspection & inventory of equipment located at the center which includes but not limited to; Center Vehicles, kitchen equipment, office equipment, office furnishings and dining room furniture.

Shall be responsible for maintaining accurate food and non-food inventory at the end of each month. Responsible for assuring approved menus are posted and followed. Responsible for requisitioning food and other supplies needed to meet service delivery.

Attends community meetings, trainings, seminars, and monthly Coordinator meetings; organizes and supports a local Center Senior Advisory Council; Develops calendar for monthly activities; Serves as the program’s public relations representative in their perspective community; Assists in the recruitment of volunteers when necessary;

Incumbent of the position performs in a typical office setting with appropriate climate controls.  Tasks require a variety of physical activities such as walking, standing, stooping, sitting, reaching, talking, hearing and seeing, not generally involving muscular strain.   Common eye, hand, finger dexterity exist.  Mental application utilizes memory for details, verbal instructions, emotional stability, discriminating thinking and creative problem solving.  Periodic travel required in normal course of job performance.
